This site collects less than most, but it does not collect nothing — so here is exactly what happens to what you send us, in the order it happens, and what we keep afterwards.
Who we are
OptimusYou LLC, doing business as Woodbridge Agency, is responsible for this website and for the information described here. Woodbridge Agency is the digital arm of Woodbridge Printing, the family print shop running since 1980 — but this policy covers only woodbridge.agency and the forms on it, not Woodbridge Printing’s own site. Questions go to hello@woodbridge.agency.
What we collect, and what happens to it
When you send the form on this site we store what you typed - your name, email, phone, business name, your message, and your answers to the questions the form asked - and we email it to ourselves so we can reply. The email goes out through Resend.
We keep your inquiry for as long as we are in business and you have not asked us to delete it - it is how we remember who we have spoken to. Ask us to delete it and we will.
We also keep a verbatim copy of the submission for 90 days, purely so we can work out what happened if something breaks in transit, and then it goes. It never leaves our server: it is not in any list, export or report we look at.
Two things the form records that you did not type
The page you sent the form from, so we know whether a request came from the discovery-call page or the website-review page. You do not type this in; the form fills it in.
A hidden field named "website" that a real visitor never sees and only a bot fills in. If it comes back filled in we treat the submission as spam: we show a success message and discard it without emailing anyone. It keeps spam out of the inbox; it collects nothing about you.
How we use it
The only reason any of it is kept is to answer you:
- Matt reads every submission personally
- You get a confirmation email so you know it went through
- We use what you wrote to prepare your website review, your discovery call, or your quote
We do not add you to a mailing list, sell your information, or use it to advertise to you anywhere else. There is no marketing list to add you to.
The chat on this site
There is a chat button on this site. If you use it, what you type is stored so we can read the conversation and answer properly, and an AI model writes the replies - the model is run by Anthropic, who receive the conversation to do that. We delete the text of a chat, and its one-line summary, after 90 days. What we keep after that is the record that a conversation happened and a short label of what it was about (such as “a new website”), never your name or contact details.
What the chat was about. Each night, a finished conversation is sent to Anthropic once more so their model can label it: a short title, what it was about (for example “a new website”), whether you were asking about price, and any question the chat couldn’t answer. We use those labels to see what people ask about most, and to teach the chat the answers it was missing. The labels describe the conversation, not you: they leave out names, email addresses and phone numbers.
We also record when someone clicks one of the chat’s booking or contact links, with the page it happened on and a random session id, so we can tell whether the thing is actually useful. That id is not your name. If you then send us a request, from the chat or from a form on this site, we keep the id with your request so we can see the conversation that led to it.
If you choose to send a request from the chat, it asks for your name, your email and, if you want, a phone number. Those details, what you asked for and the conversation go to our team and are kept with your request like any other inquiry. We use them only to reply to you.
Booking a call from the chat. When you ask to talk to us, the chat can show our Calendly calendar so you can pick a time there and then. Calendly is not contacted until you tap to see the times. If we already have your name and email from the chat, they are filled in for you. Calendly tells the chat that a booking was made, and we record that the conversation ended in a booking; the details of the meeting stay in Calendly and come to us the way any booking does.
Remembering you on this device. So you can pick up where you left off, the chat keeps your conversation, and the name, email and phone you sent from it, in your own browser’s storage on the device you used, for 30 days. It is not sent to us again or shared with anyone; it is how your next visit knows what you asked last time and fills in your details. “Clear this chat” in the chat window deletes it straight away, and so does clearing your browser’s site data.
What stays after that is the record that a conversation happened at all: which page it was on, the random session id, whether we answered you or fell short, and the timing and size measurements we use to check the thing works and what it costs us. None of that contains what you typed. We keep it for as long as it is useful to us.
We read the conversations ourselves — that is the whole reason they are kept. Nobody outside Woodbridge Agency sees them.
If you want a chat deleted sooner than that, email us and say roughly when you used it and what it was about. We are not being awkward: a chat is not filed under your name, so without that we have no way to find yours.
You do not have to use the chat. Nothing on this site requires it, and the form and our email address work exactly the same way without it.
What we don’t do
No third-party analytics - no Google Analytics, no advertising pixels, nothing that follows you around other websites. No ad tracking. No cookies for visitors - if you log in to a client portal you get a session cookie, because that is how staying logged in works, and nothing else. And we do not record your IP address against your inquiry. The only place an IP is touched at all is a short-lived spam check that forgets it.
Who else touches it
- Vercel, which hosts this site
- Resend, which sends our notification and your confirmation
- Google Fonts, which serves the typefaces
- Anthropic, whose AI model writes the concierge chat’s replies and labels each conversation
- Calendly, if you choose to book a call from the chat: the calendar is theirs, it loads only when you tap to see times, and your booking is handled under their privacy policy
None of them use your information for their own marketing — they are processing it to deliver the site or the email. We do not control their systems, so how long each keeps its own logs is governed by its own policy, not this one. If we are ever legally required to disclose information — a subpoena or court order — we will.
Deleting your information
Email hello@woodbridge.agency and ask. We will delete it and confirm that we have.
Your other choices
You can also email us at any time to:
- Ask what we have on file for you
- Correct something you got wrong in the form
- Ask us to stop contacting you about a request you made
There is no ongoing marketing list, so there is nothing to unsubscribe from beyond a single email thread. If you live somewhere that gives you additional rights over your personal information, tell us and we will honor them as far as a business this size practically can.
Children’s privacy
Woodbridge Agency sells to business owners, not children. We do not knowingly collect information from anyone under 13, and if we learn that we have, we will delete it.
Security
Submissions travel over HTTPS. What we store is held in our own database on managed infrastructure, reachable only by us, and the debugging copy described above is deleted on its own schedule rather than kept alongside it. No system is perfect and we cannot promise absolute security. If we ever learn of a breach affecting your personal information, we will notify the people affected as required by law.
Changes to this policy
If this policy changes we will update the date at the top and post the new version here. We have no contact list to notify you with, so please check back if you are curious.
